Business Support Assistant
Working as an integral member of the business support team you will be the front facing representative of North West fire Control and all it stands for.
Salary: £24116.14 Pro Rata
Hours: 25.5 hours Monday – Wednesday 0800 – 1700hrs
Reports to: Business Support
Main Responsibilities
1. Greeting visitors and answering incoming telephone calls acting as a first point of contact in a professional and courteous manner.
2. Provides administrative support and assists the smooth-running of the business.
3. Use of a variety of Microsoft Office software packages including Word for word processing, Excel for inputting data and updating spreadsheets, PowerPoint
for presentations, and Outlook for email and calendar management.
4. Ensures the accurate collection and administration of documents, maintaining electronic and paper systems to accurate, up to date and relevant.
5. Contribute and promote North West Fire Control code of ethics supporting everyone in the organisation to be Fire Control Professionals.
6. Monitor and respond to incoming emails.
7. Meeting room administration – booking and coordinating all meetings held at North West Fire Control.
8. Record and process all incoming and outgoing mail.
9. Raise purchase order numbers and process invoices.
10. Maintain and manage stationery and uniform stock levels and place orders.
11. Contributes to promoting a culture of excellence and continuous improvement at all times.
12. Complies with all company policy, guiding frameworks and legal requirements especially equality, diversity, fairness & dignity in the workplace and Health
and Safety.
13. Providing cover for annual leave on the department which can mean working full time on occasions. School hours can be accommodated where possible.
14. Any other duties commensurate with the responsibilities of the role.
Person Specification
15. Reliable, flexible and team player.
16. Demonstrates a good level of literacy and numeracy with maths and English to GCSE level or equivalent.
17. Excellent communication skills, both written and verbal with good attention to detail.
18. Good knowledge of Microsoft Office including Outlook, Word, Excel and PowerPoint and a hold a broad range of administrator skills.
19. Proactive approach to work, confident in your ability to work alone and within a team environment.
20. Customer service driven with a positive attitude towards work.
21. Has strong organisational skills with the ability to manage pressure and conflicting demands and prioritise tasks and workload.
22. Conscientious approach to tasks to achieve and maintain excellent standards.
23. The ability to communicate effectively at all levels including senior management, elected councillors and members of the public by telephone and in person.
24. Proven experience of working through complex problems to a satisfactory conclusion.
25. Has experience of working in the public sector or within a structured and formal working environment.
26. Demonstrates an understanding of equality and diversity and experience of embedding a fair and ethical approach to others.
